Privacy Policy – Jerusalem Multidisciplinary College

Introduction

The Jerusalem Multidisciplinary College (JMC) is committed to safeguarding the privacy and personal data of applicants, students, faculty members, staff, patients, and suppliers. The College manages this information in accordance with the provisions of the Protection of Privacy Law, 1981, Amendment No. 13 to the Law, and in line with regulations and procedures customary in academic and public institutions in Israel.

Information Collected

The College collects a wide range of personal and academic information, including but not limited to:

  • Personal identifying data: name, ID number, address, phone number, email, family details.
  • Certificates and qualifications: diplomas, grades, degrees, courses, alumni records, and supplemental studies.
  • Employment information: work experience, positions, workplaces, employment history.
  • Financial information: bank accounts, payment details, receipts, service agreements.
  • Use of academic systems: logins, passwords, course attendance, participation in learning platforms.
  • Data required for reporting to authorities: as mandated by law, including reporting to the Tax Authority, National Insurance Institute, Council for Higher Education, and other governmental bodies.
  • Health-related data: vision, hearing, and similar tests conducted in the College’s clinics serving the general public.
  • Call recordings.
  • Security camera recordings.

Purposes of Information Collection and Use

The information collected is used for the following purposes, depending on the type of engagement with the College:

  • Admissions management: processing applications, reviewing candidates, issuing acceptance confirmations.
  • Academic administration and curriculum development: course registration, grading, academic program management.
  • Student services: tuition payments, publication of notices, academic assistance, certificates, and permits.
  • Teaching and research management: lecturer administration, class planning, evaluations, and assessments.
  • Human resources management: employee details, payroll, certificates, benefits, and employment rights.
  • Procurement and supplier management: invoices, contracts, payments, and operations.
  • Legal and regulatory compliance: reporting and data transfer to authorities, including annual reports and declarations.
  • Call recordings: for service improvement.
  • Security cameras: for safety, security, prevention of misconduct, and ensuring exam integrity.

The College’s Website

The Jerusalem Multidisciplinary College (“The College”) respects the privacy of users on its website (“the Website”). The following provisions set forth the privacy policy applicable to the Website. Although the policy is written in masculine form, it applies equally to all genders.

  1. This Privacy Policy supplements the Website’s Terms of Use and does not replace them. In any case of discrepancy between the Terms of Use and this Privacy Policy, the Terms of Use shall prevail.
  2. Generally, browsing the Website does not require providing personal details or identification. However, in order to receive certain services (as detailed in Section 3), users must provide personal details. Providing such details is voluntary, and there is no legal obligation to do so. However, failure to provide the required details may prevent the College from offering these services.
  3. To access the following services, users must provide their personal details on the Website:
    3.1 Requesting additional information from the College.
    3.2 Completing an alumni form for the College’s alumni association.
    3.3 Completing an employer form to post a job opportunity for students/graduates.
    3.4 Contacting the College via the online contact form.
  4. The College, or its authorized representatives, may use the provided information for the following purposes, and by submitting their details, users consent to such use:
    4.1 Contacting the user via phone, email, or letter to a person who sent their information using one or more of the methods mentioned in Section 3.
    4.2 Statistical analysis of browsing habits and characteristics (conducted anonymously without identifying details).
    4.3 Sharing non-identifiable data with third parties, except where a judicial order requires disclosure of personal details or in cases of dispute resolution concerning Website use.
    4.4 Any other use permitted by law, as deemed appropriate by the College.
  5. Users acknowledge and consent that the College may place cookies on their device for the purpose of optimizing and improving Website usage and for statistical data collection. Users may delete these files from their device at any time.
  6. The Website uses standard information security technologies and procedures. However, absolute protection from unauthorized intrusion is not possible. Users are aware of this and waive any claim against the College in this regard.
  7. This Privacy Policy may be amended from time to time by the College. Any changes will be published on the Website, and such changes will take effect upon publication. Users are responsible for reviewing updates to the Privacy Policy.

Data Security

The College implements comprehensive information security measures, including:

  • Data confidentiality protection through encryption, advanced security systems, and regular updates in line with recommendations from cybersecurity authorities and system providers.
  • Restricted access to information, granted only to authorized personnel according to their role.
  • Continuous monitoring and adaptation of security measures to prevent breaches, theft, or disruptions.
  • Training and instruction for staff, students, and faculty on data security and privacy protection.

Nevertheless, information security cannot guarantee absolute immunity from cyberattacks, breaches, or disruptions. The College shall not be liable for damages caused by cyber incidents beyond its direct control but will act to strengthen its protective measures.

Data Transfer to External Authorities

The College is legally obligated to transfer information to authorities as required, including but not limited to:

  • Council for Higher Education
  • Ministry of Education and Culture
  • Tax Authority and National Insurance Institute
  • Law enforcement and regulatory authorities
  • Central Bureau of Statistics, Ministry of Health, Ministry of Interior, Ministry of Defense, and any other legally mandated body

Such transfers are conducted securely and in accordance with applicable laws to preserve confidentiality.

Alumni Database

The College maintains an alumni database containing details of its graduates. Students acknowledge that their information will be included in this database for purposes of updates, maintaining contact, career opportunities, and organizational engagement. Consent to be included in this database is granted upon enrollment and may be withdrawn at any time by contacting the College.

Data Storage and Processing by External Providers

Storage and processing of information through external providers (including overseas cloud systems), if required for its ongoing activities, the College may share personal information with such providers. For the purpose of sharing the information and restricting its use solely to the College’s needs, the College will require the provider to sign privacy policy documents and will stipulate and demand that these providers store and process the information in accordance with all applicable laws and regulations in Israel relating to data security and privacy protection, and solely for the College’s purposes.

Data Retention

Retention periods are determined based on the type of data and legal requirements:

  • Personal data collected for student registration and academic activities is retained during the course of studies and for the legally required period thereafter.
  • Financial data, accounts, and payments are retained in accordance with legal requirements.
  • Employee data is retained even after employment ends, in line with legal obligations.

Rights and Requestions to View Data

In accordance with the Protection of Privacy Law, data subjects are entitled to:

  • Access personal data held by the College at any time upon request.
  • Request correction, updating, deletion, or restriction of data if it is found to be inaccurate, incomplete, or outdated.
  • Withdraw consent for use of data for marketing or other purposes at any time.
  • Receive information about data processing methods and usage limitations.

Where rights are legally restricted, the College will provide an explanation of such limitations. Requests may be submitted via email to privacy@jmc.ac.il, and will be addressed within a reasonable time.
